
Terms of Service
Rates & Taxes
Room rates and other taxable lodging charges are subject to Vermont’s 9% rooms tax and Londonderry’s 1% local-option rooms tax. Tax rates are subject to change. Rates are not guaranteed until the reservation is confirmed and payment is successfully processed.
Cleaning Fee
Standard housekeeping is included in the room rate. Additional charges may apply for excessive cleaning, smoking, undisclosed pets, or extraordinary conditions.
Payment Terms
100% of the reservation total is due at the time of booking. A valid payment method must remain on file during the stay.
The guest authorizes the motel to charge the payment method on file for the reservation, approved incidentals, pet fees, smoking fees, excessive cleaning, missing items, property damage, and other amounts permitted under these terms. The motel may require an incidental authorization or security deposit at check-in.
Check-in / Check-out
In-person check-in at the front desk is from 3:00 p.m. to 8:00 p.m. Check-out is by 11:00 a.m.
Guests expecting to arrive after 8:00 p.m must contact the lodge in advance for a mobile key check-in process. Late arrival, early check-in, and late checkout requests are subject to availability and are not guaranteed.
Cancellation Policy
Standard reservations may be canceled without penalty until 4:00 p.m. Eastern Time, 48 hours before the scheduled check-in date. Three-bedroom units may be canceled without penalty until 4:00 p.m. Eastern Time, 10 days before the scheduled check-in date. After the applicable deadline, the reservation is non-refundable. No-shows, late arrivals, and early departures are non-refundable. A cancellation is effective only when confirmed by the motel in writing.
Age Requirement & Minors
The primary guest must be 18 years or older to book and stay. Minors are permitted only when accompanied by an adult on the reservation.
The primary guest must be present for the entire stay and may not book on behalf of an unaccompanied third party.
Maximum Occupancy
Maximum occupancy varies by room type:

Family Rooms: Up to 6 guests

3-Bedroom Units: 8–12 guests, depending on the unit

Jacuzzi & Economy Rooms: Up to 2 guests

Standard Rooms: Up to 4 guests
Only registered guests may stay overnight. Visitors may not cause the room’s occupancy limit to be exceeded. Parties and events are prohibited unless approved in writing.
Pets
Pets are allowed for a $30 per pet fee up to 2. Well-behaved dogs are permitted in designated pet-friendly rooms with advance notice. Pets are not permitted in Economy or Jacuzzi rooms. Guests are responsible for cleaning up after their pets and for any damage or excessive cleaning caused by them. Pets may not be left unattended if they are likely to bark or disturb other guests. Service animals are permitted as required by law and are not subject to pet restrictions or fees.
Quiet Hours
Quiet hours are from 10:00 p.m. to 6:00 a.m. Excessive noise, parties, illegal activity, harassment, threats, or conduct that disturbs other guests or staff may result in removal without refund, where permitted by law.
Property Care & Damages
Guests are responsible for the condition of the room and furnishings. Charges may apply for damage, missing items, excessive cleaning, or policy violations identified during or after checkout.
Parking
Complimentary on-site parking is available for registered guests. Vehicles must be parked in designated areas and may not block entrances, fire lanes, plowing areas, or other vehicles. Trailers, buses, recreational vehicles, and oversized vehicles require advance approval. Parking is at the vehicle owner’s risk.
Accessibility
The property has limited accessibility features. A ramp provides access to the main level of the Lodge. Other areas and guestrooms may require stairs and may not meet current accessibility standards. Please contact us before booking so we can describe the entrance, route, doorway, bathroom, and guestroom features applicable to your needs.
Identification & Verification
A valid government-issued photo ID and completion of a Guest Agreement is required for online check-in.
Maintenance & Access
Staff may enter a guestroom without prior notice in an emergency, when reasonably necessary to protect people or property, or when there is a reasonable concern regarding a policy violation. For routine maintenance or requested service, reasonable efforts will be made to notify the guest in advance.
Issues & Refunds
Guests must promptly report concerns during the stay and provide the motel a reasonable opportunity to investigate and respond. Any refund or credit will be deducted from, and may not be duplicated through, another claim concerning the same amount. Nothing in these terms limits rights that cannot legally be waived.
Lost or Stolen Items
To the fullest extent permitted by law, the motel is not responsible for loss, theft, or damage to guest property, except to the extent caused by the motel’s negligence or where liability cannot legally be excluded.
Liability
Guests assume responsibility for personal injury, loss, or damage to personal property during their stay, except where prohibited by law.
Force Majeure
The motel is not responsible for disruptions caused by events beyond its control, including severe weather, utility outages, or government actions.
Communication Consent
Guests consent to reservation-related calls, emails, and text messages. Consent to marketing communications is optional and may be withdrawn at any time.
Governing Law
These Terms & Conditions are governed by the laws of the State of Vermont.
Pool
The outdoor pool is seasonal and may be unavailable due to weather, maintenance, staffing, or other conditions. Pool hours are posted at the property and may change. Children must be supervised by an adult at all times. No lifeguard is on duty. Glass, running, diving, and disruptive behavior are prohibited. Guests use the pool at their own risk, except where prohibited by law.
Smoking
Upper Pass Lodge is a non-smoking property. Smoking or vaping, including tobacco and cannabis, is prohibited inside all guestrooms and indoor common areas. A cleaning and remediation charge of $250 may be assessed for violations.
Alcohol
Only alcoholic beverages purchased from the Red Slate Restaurant are permitted in our public areas (Per the Department of Liquor Control).
